The first steps to sharing a SmartDraw diagram stored on OneDrive is identical to sharing it from SmartDraw's own storage.
- Click the Share button in the upper right corner of the UI.
- Choose Copy Link from the drop-down menu under Share.
- SmartDraw will generate a OneDrive share link.
- From the drop down, select the level of access you want to grant. Provide read only access using "Anyone with this link can only View" or provide both read and write access using "Anyone with this link can View and Edit"
- Click the Copy Link button. You can now share this link in an email or any chat application like Slack, Teams, Zoom, Google Meets, and more.
How Your Users Can Access Shared Documents in OneDrive
SmartDraw generates a share link that points to the OneDrive account where your document is saved.
- When someone clicks on this link, they will be prompted to login to your OneDrive instance protect your account.
- If they're already logged in, they will see an intermediary screen that gives two options to open or download the file. You want to avoid clicking on the blue Open button, but instead look for the Open drop-down in the upper right. Click that and select SmartDraw to open the file in SmartDraw.
Alternatively, your team can access shared SmartDraw documents from OneDrive directly.
- Navigate to your OneDrive instance and click on Shared in the left panel.
- You should see files shared with you. Click on the three dots after the file name to bring up a pop-up menu of options.
- Click on Open and then select SmartDraw Cloud OneDrive.
Note: If you don't see the SmartDraw option under open, the connection between OneDrive and SmartDraw is not fully established yet. If you just recently connected your OneDrive, you may need to wait 24 to 48 hours for this connection to be established.
