SmartDraw's organizational charts expect photos to be in a 2:3 aspect ratio. If your photo has different dimensions, SmartDraw will make the best guess at cropping your photo to fit the chart. In the majority of the cases, this will work fine.
However, if you're not happy with how your photo appears in the organizational chart, we recommend you crop your image in a photo editing tool and re-upload it to the respective employee shape.
For example, here's an organizational chart with photos where one photo seems to be cropped badly cutting off an employee's face.
You can look at the source files and notice that one photo has different dimensions than the rest and the photo is not centered around the person's face.
Instructions for Cropping a Photo on a Windows Machine
In Windows, you can use the included free photo editor called Photos to re-crop and re-center the problem photo to a 2:3 aspect ratio that will work well with SmartDraw. Feel free to use any other photo editor of your choice that will let you crop to a specific aspect ratio. We're going to work with Photos because everyone with a Windows machine should have access to it easily.
Right click on the photo in question and choose Edit with Photos from the drop-down menu.
Once in the Photos tool, look for the presets under Aspect ratio. By default, Photos will let you choose aspect ratios that match the current orientation of your photo. This list will look slightly different depending on the original aspect ratio of your image.
If your photo already has a Portrait orientation like in the example below, choosing 3:2 will get you a portrait oriented 2:3 that SmartDraw requires.
However, if you start with a photo in a landscape orientation like the one giving us trouble. You'll want to first select 3:2 and then flip it to Portrait mode.
Our original photo is a landscape photo using a 4:3 aspect ratio. So step one will be to select 3:2 from the drop-down.
Next, you'll need to bring up the Aspect ratio drop down again and you'll see the option to Make portrait at the bottom of the list. Click on Make portrait.
You'll see the crop selection is now set to a 2:3 aspect ratio centered over your image.
Use your mouse to click and drag the image to center it in the crop window.
Once you're happy with the results, click the Save a copy button. Alternatively, you can choose Save from the drop down to save over your original.
If you choose Save a copy, you'll be prompted to name your file and pick a location to save it in.
Instructions for Cropping a Photo on a Mac
Open the Photos app on your Mac and find the photo you need to edit. Double-click the photo to open it.
Once your photo is open, click the Edit button in the upper right corner of the toolbar.
By default, the photo editor will open to the Adjust tab. Click on Crop above your photo to see options for cropping your photo.
You'll want to crop the photo to a specific aspect ratio for SmartDraw (2:3), so once you're in the Crop tab, expand the Aspect options.
Select 3:2 and hit the image that looks like a rectangle in portrait mode.
You'll see the crop selection is now set to a 2:3 aspect ratio centered over your image.
Use your mouse to click and drag the image to center it in the crop window.
Once you're happy with the results, click Done to save your newly cropped photo.
Update the Photo in the Organizational Chart
Once your photo is edited, you can re-upload it to your SmartDraw org chart.
Click the employee shape you need to update and select Add Picture from the SmartPanel to the left of the drawing area.
Choose your edited photo from your computer and click OK.
The new photo will now appear properly centered in your organizational chart because it has the right aspect ratio and the photo is centered around the employee's face.
