The Organizational Chart SmartPanel has all the symbols and tools you'll need to create a org chart.
Adding Boxes for Employees
There are 3 different ways to build your organizational chart.
- If you're using the SmartPanel, select the type of box you want to add and hit one of the buttons to "Add Left", "Add Right", "Add Up", and "Add Down". Your box will be added in the chosen direction from the currently selected shape in your drawing area.
- You can also simply select the type of box in the SmartPanel use Ctrl and any of the arrow keys to add your selected style in the chosen direction.
- The third way of adding a box is selecting the type and then using the yellow arrow shaped SmartAction buttons to add the chosen style in the direction the arrow is pointing.
Modifying Properties of Individual Boxes
Changing Box Styles
To change the style of any box even after you've added it to the drawing area, select it and click on one of the styles in the SmartPanel. Your box's style will change to the new style selected.
This org chart illustrates all four styles:
Adding a Picture
You can click the picture icon if you have selected an box style with a picture in it and then click on the Add Picture command on the SmartPanel to upload a photo.
Even if you didn't choose the box with the photo initially, you can add a picture at any time by selecting the employee and clicking the Add Picture button. This will let you browser your computer for a relevant photo and when it's inserted, it will divide the org chart box for you so the picture appears in the left column, separate from the name and title.
Adding an Assistant
You can add an assistant separate from regular reports by clicking the Add Assistant button on the SmartPanel. This will add an assistant directly below the selected employee but separate above other reports.
Adding a Co-Manager
If you need to create a co-manager, select a manager on your organizational chart and click the Add Co-Manager button to add a co-manager to the right of the selected manager.
Most organizational charts are built using rectangular boxes, but if you want to use ovals or rectangles with rounded edges, you can change the shape of any employee box using the Change Shape command in the SmartPanel. If you want to change multiple shapes at once you can use Ctrl + A to select every shape in your org chart or draw a box using your mouse around the shapes you want to include. You can also select specific shapes by holding down the Ctrl key and clicking on each shape in turn to select them.
Making Boxes the Same Size
If you want all the boxes in your org chart to match a selected box, choose the target box first and then click the the "Make Same Size" button on the SmartPanel and all the boxes on your org chart will become that size for a uniform look.
Drawing a Dotted Line
Drawing a dotted line lets you connect employees on different branches of the org chart. Click the Draw Dotted Line button on the SmartPanel and your cursor will turn into a pencil. Touch the cursor to the edge of one shape so you can see black connection points around it and then drag it to the edge of the other shape you want to connect it to until you see a white anchor symbol appear letting you know if you let go of the mouse the line will connect the two shapes.
Create a Sub-Chart
You can create a linked org chart by clicking the Create Sub-Chart button. This will open a new page in your document where you can draw another org chart linked to the original. This is a good way to keep the size of your org chart manageable.
Modifying Chart Properties
Change Chart Direction
You can easily change the direction of your entire org chart using the Chart Direction options under Chart Properties on the SmartPanel. The default org chart is built "Top Down", but you can easily change your entire chart to be "Bottom Up", "Left to Right, or "Right to Left." You don't have to redraw or reconnect anything. SmartDraw will do the work for you. Just click the direction you want and your org chart will be reformatted automatically.
Change Branch Style
You can also modify the style of individual branches to create a unique look or to make a more compact design. Select the branch you want to change the style of by clicking on the line connecting all the employees. Next, choose a different style from the Branch Style drop-down under Chart Properties on the SmartPanel. SmartDraw will automatically adjust the spacing on your entire chart to make room for the new style. Just pick a style and let SmartDraw do the work for you. You will not have to move or reconnect boxes manually.
Displaying SmartAction Buttons
The SmartAction buttons are the yellow arrows that appear as you hover over any box in your org chart. Click the yellow arrow in the direction you want to add a new employee and SmartDraw will automatically add the currently selected style of box and connect it with an automatic connector to the previous employee.
You can turn these buttons off by unchecking the SmartAction Buttons option in your SmartPanel.
Spacing Your Organizational Chart
When you add shapes to your org chart, SmartDraw uses its Intelligent Formatting Engine to make sure that shapes are automatically spaced evenly apart. You can adjust this spacing manually using the controls at the bottom of the SmartPanel.
The default 0.2 spacing:
You can adjust the vertical and horizontal spacing independently. This will affect every branch and connected shape in your chart.
Here, we made the vertical spacing smaller while increasing the horizontal spacing:
To adjust the spacing between two branches without affecting the rest of your chart, you can use the controls on the lines connecting the boxes: green hollow circles or you can use the arrow controls on the shapes. Just click on the controls and drag them in the direction you want to add or reduce space.
Use the controls on the line to adjust spacing by clicking and dragging them:
The green circles let you adjust each segment of the connected branches independently.
The black squares adjust the horizontal and vertical spacing uniformly for the entire branch.
You can also accomplish the same effect using the green arrow controls inside each shape.
Import and Export Your Organizational Chart
Instead of building your organizational chart manually, you can create your org chart automatically by importing a tab delimited csv or text file.
Click on Import from File in the SmartPanel to either build your entire chart from the imported data or simply append data to the selected shape.
Here's an example of a correctly formatted org chart file you can import:
If your data contains an entire organization's worth of data of every name and position, you'll want to choose Replace chart with imported data and let SmartDraw build your org chart for you automatically.
If your data just contains information for a single team, like the marketing team, select the VP of Marketing and choose to Append data to selected shape instead of replacing the entire organizational chart.
You can also export your completed organizational chart to a text file. SmartDraw makes it easy to make changes to your org chart. You can reorganize departments, add or change information, delete or add team members, and more. Once you're ready, you can either share your visual org chart with anyone or export it back out to a data file.
